Questions agents ask
Frequently Asked Questions
What is a Transaction Coordinator (TC)?
A Transaction Coordinator handles the administrative details involved in a real estate transaction. From contract acceptance to closing, our team coordinates the administrative details, tracks deadlines, communicates with transaction participants, follows up on required documents, and helps keep the file organized and on track for brokerage compliance.
How will you keep me in the loop?
Before we begin working together, we’ll discuss your communication preferences. We send status update emails as needed to keep you informed on your files, and any outstanding items are communicated right away. You’ll always know where your transactions stand.
What are your working hours?
Our regular business hours are Monday to Friday, 9:00 AM to 5:00 PM. You can expect a prompt response during these times, or by the next business day if contacting us after hours. We understand that real estate isn’t a 9-to-5 job, so we do make exceptions for urgent matters, such as time-sensitive deadlines.
Will you communicate with my clients directly?
Yes, direct communication with your clients helps us work more efficiently and save you time. We will always copy you on all emails sent to your clients so you stay in the loop. That said, we’re happy to route all communication through you if that’s your preference. Either way, you’ll always be kept informed and copied on all correspondence.
Why hire a TC instead of a full or part-time assistant?
Hiring a TC is a flexible and cost-effective alternative to hiring staff. You only pay per closed transaction, no overhead, payroll, or benefits to worry about. We come fully trained and ready to go. Many agents utilize a TC to manage the paperwork and related tasks from contract to close, thereby freeing up in-house support for marketing and client outreach.
How do you get paid?
Contract-to-close services are billed to the credit card on file after closing. Listing coordination is billed when the listing goes live. All other services are due at the time the service is rendered.
How can you help me grow my business?
We help you reclaim your time by handling the paperwork and coordination behind every deal, potentially saving approximately 15 to 20 hours per transaction, a commonly cited industry estimate rather than a guaranteed or internally measured Breakaway result. That means you can focus on income-producing activities, serving your current clients, and securing new ones, while we keep your transactions running smoothly.
What if my deal doesn’t close?
If a transaction falls through, you won’t be charged. We believe in aligning our success with yours.
Can you prepare my offers or listing agreements?
Yes, we offer contract preparation as an add-on service: $50 per offer and $30 per listing agreement. You’ll provide the contract terms, and we’ll handle the rest. Documents are typically delivered within two business hours if submitted before 2:00 PM. Please check for availability. This fee is due regardless of whether the contract is accepted.
Isn’t this something my broker’s compliance staff already does?
Brokerage administrative support varies. Some services identify missing documents or signatures for the agent to resolve. Breakaway's full Contract to Close service includes active administrative follow-up to obtain missing items, deadline tracking, and communication with transaction participants. Agent representation, negotiations, strategy, and decisions remain with the agent. Compliance review is one small piece of what we do, not the whole job.
